Schedule: Full Time, 35 hours/week

The Philanthropy Program Associate provides administrative support for SFMOMA’s Philanthropy program, the Program Director, Philanthropy, and the Chief Philanthropy Officer. They lead prospect research, support key department initiatives including Trustee Giving and the Board of Trustees Development Committee. As a key point of contact for the department, the Philanthropy Associate works in close collaboration with colleagues throughout the museum as well as Trustees, donors, and external partners to support a progressive Philanthropy program that attracts, engages, inspires, and yields meaningful long-term relationships with museum supporters and reaches its fiscal goals.

Responsibilities & Duties

  • Provides administrative support to the Chief Philanthropy Officer and Philanthropy Program Director, including calendaring, organizing meetings, and expense reports.
  • Provides administrative support for the Trustee Giving Portfolio, including annual solicitation proposals, invoices, gift acknowledgement letters, receipts, Tessitura plans, tracking responses, financial accounting, and special Trustee fundraising initiatives.
  • Owns potential Trustee pipeline administration and cultivation tracking.
  • Maintains accurate Trustee contact and relationship data in Tessitura such as emails, addresses, assistants, etc.
  • Schedules Development Committee meetings, drafts agendas, gathers RSVPs, orders catering, books and sets up meeting room, and takes minutes.
  • Supports Philanthropy program initiatives, such as DEIA, Strategic Planning, and endowment draws.
  • Supports Philanthropy team by providing clerical help when needed, including public program donor ticketing, catalogue orders, management of Philanthropy mailbox.
  • Maintains Philanthropy staff information including organizational charts and lookbooks.
  • Supports Philanthropy staff engagement initiatives, including professional development and the Philanthropy Culture Committee (PCC).
  • Liaises with Director’s Office: Helps staff Board of Trustees meetings, organizes donor communications, assists with slide presentations and talking points for Board meetings.
  • Manages donor prospect portfolio system including tracking development of donors and in Tessitura.
  • Is expert in the museum’s constituent record management database, Tessitura, including but not limited to maintaining donor information, pulling data, preparing reports, and working cross-functionally to maintain record data integrity
  • Develops donor profiles, performs wealth research, development bios, and lookbooks.
  • Researches donation trends and governance, including giving mechanisms such as DAFs and crypto.
  • Performs other tasks and special projects as assigned.
